A Socially driven travel company based in Katunayake is seeking an Events Coordinator to join their growing team.
Location
Head office in Negombo/Katunayake. Work travel to outstation locations will be expected.Â
Commitment
The role will be full-time, Monday to Friday, from 8 am to 5 pm sharp with occasional weekend work. Some changes to working days may be required depending on our booking schedule, with extra time paid or by taking time off on other days.
Role Objective:
We are seeking an energetic and organized Event Coordinator to join our team. The ideal candidate will be responsible for planning, coordinating, and executing a variety of events, ensuring all details are handled efficiently and effectively.
Key Responsibilities:
- Event Planning and Coordination:
- Plan, organize, and execute a range of events, including corporate events, conferences, and special occasions.
- Coordinate all event logistics, including venue booking, catering, transportation, and accommodation arrangements.
- Develop and manage event timelines, budgets, and schedules.
- Participant Communication:
- Serve as the primary point of contact for event participants, providing timely and accurate information.
- Manage event inquiries via email, phone, and social media.
- Prepare and distribute pre-event information, updates, and reminders to participants.
- Vendor and Stakeholder Management:
- Liaise with vendors, suppliers, and other stakeholders to ensure smooth event execution.
- Negotiate contracts and agreements with vendors to secure the best terms.
- Manage relationships with event sponsors and partners.
- On-site Event Management:
- Oversee event setup, execution, and breakdown, ensuring all aspects run smoothly.
- Coordinate on-site staff and volunteers, assigning tasks and responsibilities.
- Troubleshoot any issues that arise during the event, ensuring a positive experience for all attendees.
- Post-event Activities:
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
- Prepare and distribute post-event reports, including budget reconciliation and participant feedback analysis.
- Maintain an organized archive of event documents and records.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
- Proven experience in event planning and coordination.
- Strong organizational and project management skills.
- Excellent communication and interpersonal skills.
- Ability to multitask and manage multiple events simultaneously.
- Proficiency in event management software and tools.
- Flexibility to work evenings, weekends, and travel as required.
